Estetik International / CaseCraft Systems

Connecting data to clinic operations.

Our team structured the CRM, prepared legacy data and supported patient-inquiry operations for a medical-tourism group. A dated 2026 report shows an AI intake agent working alongside the human sales team.

01 / The challenge

Bring fragmented tools into one process.

For a medical-tourism business handling several treatment areas, inquiries and appointments must move between CRM records, automated intake and a human sales team. The documented scope also included legacy CRM preparation and operational reporting.

02 / The thinking

Make the data useful to the people using it.

Moving the data was step one. Staff also needed clean records, consistent fields, clinic routing and reports they could read, so they could see what was happening and act on it.

03 / Documented work

CRM foundations and patient-inquiry operations.

  • Structured Zoho One records and process logic for leads, contacts, deals and sales orders, as described in the earlier delivery account.
  • Prepared legacy Kommo CRM data, field normalization and reporting context for the clinic team.
  • Documented a 2026 CRM sub-account go-live and an AI intake agent beginning WhatsApp conversations the next day.
  • Tracked AI activity and appointment booking alongside the human sales team's conversation activity.

The Zoho delivery record and the 2026 CRM and AI report are separate sources, so we describe them separately.

04 / The operating sequence

AI intake, with a human team in the loop.

The report records a June 15, 2026 go-live and the Elara agent's first WhatsApp conversation on June 16. It lists inquiries across plastic surgery, hair transplantation, dentistry, weight-loss, ophthalmology and orthopedics, with later WhatsApp, Instagram, Facebook and SMS activity. The human sales team handled conversations the whole time. The agent logged its last conversation on August 10 and was then paused.

  2. EngageInitial patient inquiries received an automated conversation.
  3. BookThe report records appointments during the first two launch weeks.
  4. Hand overHuman coordinators remained central, particularly after the agent paused.

05 / The documented period

Messages sent. Appointments booked.

The CRM report records 24,788 AI messages and 92 AI-booked appointments in the first two weeks after launch. Messages count activity, not unique people, and the booking pace did not hold for the full period. Source: Estetik International CRM & AI Agent Performance report, October 2, 2026. The figures come from the client’s internal report, not an independent audit.

06 / What the record revealed

A system also needs clear ownership.

By the report date, the human team had handled 13,275 conversations across the recorded history. The report's recommendations focused on assignment, human handover and better visibility into team output. Those are next steps the report recommends, not results yet.

07 / Proof of work

What supports this case.

The report holds confidential operating details, so it stays private. The cover above is our illustration, not the client’s system.
